Dear EMPA POCs,
In the board meeting on April 29th, 2011 in Rapperswil, Switzerland, I informed the board about my talks with our Czech friends concerning the possibility to conduct the EMPA Congress 2012 in the Czech Republic as follows:

EMPA Congress 2012 preparations
1. Following the Vienna Congress 2009 our Czech friends Eva and Milos more and more liked the idea to organize an EMPA Congress themselves in the Czech Republic.
2. In order to find good sponsorship for the Congress the idea was born to organize the EMPA Congress 2012 in the framework of the “Future Soldier 2012” exhibition in Prague, Czech Republic.
3. The president was invited to visit the “Future Soldier 2010” last October in Prague, a medium size exhibition&conference for all the needs of the soldier on the ground. Besides exhibiting networking and fostering contacts as well as public relations is the main goal of this event. So the goals of the “Future Soldier” and the EMPA are pretty the same.
4. Following this exhibition Eva opened the contact to the managing director of the “Future Soldier”, Mr. Jan Sajdl, who visited the president in February this year in Vienna for a first meeting. Here he suggested cooperation between the “Future Soldier” and EMPA in terms of sponsorship, marketing and PR.
5. On April 21st, 2011 the president and Mr. Sajdl met again in Prague, Czech Republic to discuss further details and to draft a Memorandum of Understanding (see annex).
6. Mutual contributions
a) “Future Soldier”
- The “Future Soldier” will be the main sponsor of the EMPA Congress 2012 as the Congress will be an integral part of the exhibition.
- The “Future Soldier” will take care for the organizational needs like providing a conference room, transportation to the exhibition, and shaping the overall programme.
- The “Future Soldier” will together with the Czech EMPA POC draft a programme and present this programme at the EMPA Congress 2011 in Lucerne, Switzerland.
- The “Future Soldier” may use the EMPA logo in its marketing campaign for the 2012 exhibition&conference.
b) EMPA
EMPA will support the “Future Soldier” in their marketing efforts by
- providing contacts to the member media
- encouraging our member papers to promote the “Future Soldier” for free
- providing information on national armament companies, who might be potential exhibitors
- promoting the “Future Soldier” on the EMPA homepage and in the EMPAnews
- providing the EMPA logo in combination with a specific text for the “Future Soldier” marketing campaign
- attending the “Future Soldier 2012” with 40 to 50 military and military related civilian journalists who will of course report on the exhibition and the congress in their media
7. In order to put this cooperation on a solid basis I ask the board for consent to sign the Memorandum of Understanding at the next meeting in Brno, Czech Republic on May 10th, 2011.
8. Specific cooperation agreements can then be planned and should be signed by the EMPA president for the period 2011 to 2015 in Lucerne, Switzerland on October 25th, 2011 at the latest.”
The board unanimously agreed upon my proposal and I signed the MOU, countersigned factually correct by the 1st Vice President, at a meeting in Brno, Czech Republic on May 10th, 2011.
The following steps are envisaged:
1. The EMPA POCs will be contacted by the management of the “Future Soldier 2012” - Mr. Jan Sajdl, Ms. Martina Ondkova - in order to:
- establish contact to the member media in your country concerning advertising, marketing and PR,
- promoting the “Future Soldier 2012” amongst our members,
- find support by our members in obtaining information on national armament companies, who might be potential exhibitors.
2. A cooperation agreement will be drafted and legally checked by both sides.
This agreement shall be discussed on the occasion of the presentation of the draft programme for the Congress 2012 at the General Meeting in Lucerne between the new board and the management of the “Future Soldier 2012”.
3. As the date for the “Future Soldier 2012” is October 17th to 19th, 2012 – this is after the end of our fiscal year – the General Meeting has to agree upon before the contract can be signed by the President and the Secretary General. This will be on the agenda of the General Meeting in Lucerne.
I am firmly convinced that our Czech friends together with the “Future Soldier 2012” management will organize an interesting congress in Prague next year.
So I ask you to support their efforts in marketing and PR.
